Position Description:

This position will report directly to the Accounts Payable Manager as first tier assistant.  Will focus on Payment and AP Posting functions. The role requires strong attention to detail, communication, and organizational skills with the ability to follow-through timely and effectively.

Essential Duties and Responsibilities:

  • Back up the AP Manager on all key tasks – primarily payment processing (paper checks & EFTs)
  • Accurate and predictable processing of summary/statement billings
  • Assist in Credit Card Administration – applications, cancellations, customer service. & account reconciliation
  • Act as a liaison for AP related items between internal and external clients to meet information needs
  • Assist the AP manager with research (statements, etc.) and ad-hoc reporting and analysis as needed
  • Develop an effective rapport with vendors and maintain positive vendor relationships
  • Ensure proper AP related information is maintained for historical purposes
  • Effectively backup other AP roles within the accounting team as needed
  • Assist accounting team with other projects or tasks as needed
  • Resolve AP related inquiries or discrepancies
  • Assist with internal and external audits

Additional Responsibilities:

  • Assist the AP Manager to develop, implement, and maintain systems, procedures & policies related to the AP functions to ensure efficiency and adherence to laws and company guidelines
  • Work closely with the AP Manager and other Accounting team management on various projects, tasks, and initiatives
  • Assist with creating detailed instructions for all AP processes and update the instructions as changes occur
  • Maintain confidentiality with sensitive or proprietary information on behalf of managers/executives
  • Consistently strive to improve processes and to develop a rapport with vendors and subcontractors


  • Must have excellent time-management and prioritization skills to ensure deadlines are met while providing accurate deliverables
  • Must be detail-oriented, organized, flexible, and able to effectively multitask while working in a fast-paced environment
  • Must have exceptional interpersonal skills and the ability to develop positive working relationships
  • Must have strong working knowledge of Microsoft Office products
  • Minimum of an Associate’s degree in Business Administration
  • Experience with Timberline or Heavy Job software a plus
  • Must display initiative and independent thinking
